Job Description

Office Assistant for a Mental Health Private Practice We are seeking an Office Assistant who demonstrates excellent customer service, a strong work ethic, and the ability to multitask in a fast-paced environment. This role is essential to ensuring that clients—both new and existing—feel supported when scheduling appointments, asking questions, and engaging with our practice. Location: Hybrid – Primarily remote with occasional in-office support Schedule: • Probationary Period (30 days): Part-time, 15 hours per week (schedule to be determined with supervisor) • Post-Probation: Full-time, 40 hours per week, Monday–Friday, 8:00 AM – 5:00 PM Reports to: Office Manager Benefits & Work Environment • 90% virtual/work-from-home opportunity with occasional in-office visits. • Transition from part-time to full-time employment after probationary period. Responsibilities: • Serve as the first point of contact for clients by answering and directing phone calls, emails, and messages with professionalism and warmth. • Assist new clients with scheduling, intake forms, and providing information about services. • Support existing clients with scheduling, rescheduling, and billing-related inquiries. • Coordinate with clinicians and administrative staff to ensure client needs are met. • Perform accurate data entry in the Electronic Health Record (EHR) system. • Verify insurance benefits and communicate coverage details to clients as needed. • Maintain confidentiality in accordance with HIPAA and WCM policies. • Participate in scheduled staff meetings and provide administrative support as assigned. • Occasionally visit office locations for administrative or housekeeping tasks. Qualifications: • 2–3 years’ experience in medical office, customer service, or administrative support (mental health/healthcare experience preferred). • Excellent communication and interpersonal skills with a client-centered approach. • Strong organizational and multitasking abilities; able to prioritize competing demands. • Proficiency with EHR systems, Microsoft Word, Excel, and general office technology. • Attention to detail and accuracy in scheduling and data entry. • Ability to collaborate with a team while also working independently. • High ethical standards, reliability, and discretion in handling sensitive information.
